Repair Approval Brief

When a vendor quote sits above the owner's standing approval band, the coordinator should not spend the afternoon writing the case from scratch.

A Repair Approval Brief is a one-page exception and a draft owner email, packed from the work order, the quote, and the owner's own rule. Your coordinator reviews it, sends it, and the owner decides.

Earnest Engines does not email owners, tenants, or vendors. We do not approve spend.

The quote is routine. The packaging is not.

A dishwasher replacement comes in at $385. The owner's standing band is $250 without a call, $750 with a documented exception. The quote sits in the gap.

Today the coordinator hunts through the work order, the quote, and the owner's notes, then writes an email from scratch. Emergencies already have a path. This is the non-emergency exception that still eats an afternoon.

Plenty of tools can reformat a work order. That is not the job. The job is reading across the work order, the quote, and the standing policy, and handing the coordinator one exception they can send without a second round of questions.

The brief

One page. One decision. A draft they can send.

You get the decision being asked, why this quote needs the owner in the owner's own numbers, the sources (redacted), a draft message in the coordinator's voice, and a note on what to do next.

The coordinator stays the sender. The owner stays the decision-maker.

Repair Approval Brief

DRAFT_ONLY. Coordinator review required before anything is sent.

Case SYN-WO-77821 / SYN-PROP-4412

Decision asked

Approve dishwasher replacement at $385.

Why this needs the owner

The standing band lets you approve routine spend up to $250 without a call, and documented exceptions up to $750. This quote is $135 over the no-contact line and $365 under the exception ceiling.

Sources, redacted

  • Work order SYN-WO-77821: in-unit dishwasher, failed drain, replacement recommended.
  • Vendor quote: $385, replacement, parts and labor.
  • Owner policy: $250 no-contact / $750 documented exception.

What is not in this brief

Tenant name, occupant details, phone numbers, and the full street address are omitted. The property identifier is enough for the owner who already knows the asset.

Note for the coordinator

Send this as a documented exception. Ask for a yes or no on the $385 replacement. Do not start work until the owner replies.

Why buy it

What changes for the coordinator

  • The exception is already packed.

The coordinator does not reconstruct the case from three sources and a blank email.

  • The owner gets a yes or no.

The brief asks for a decision, not a pile of attachments and a follow-up call to explain them.

  • Tenant details stay with you.

We do not need names, phones, or occupant data to assemble the brief. If a packet arrives with that information, we will ask you to resend a redacted copy and we will delete the original.

  • You stay the sender.

Nothing goes to the owner from our inbox. Your coordinator reviews the draft and sends it, or they do not.

How it works

Pay, send the packet, send the brief.

  1. Buy a brief

Pay $19 for one exception, or $49 for three briefs to use within 30 days.

  2. Send the packet

Email the redacted work order, the vendor quote, the owner's band, who will send the message, and your Stripe receipt or order id to hello@earnestengines.com so we can match payment to the case.

  3. We pack the brief

Software packages the one-pager and the draft owner email from the work order, the quote, and the band. Typical return is 48 business hours after a complete redacted packet arrives. That is a working band, not a contractual guarantee. Your coordinator reviews the draft and sends it. Earnest Engines does not approve spend.

  4. You review and send

Your coordinator sends the message. The owner replies to you. Work does not start until they do.

What we need

Send a redacted packet.

  1. Redacted work order

Asset, fault, and recommended action. A property or work-order identifier the owner will recognize. No tenant names, phones, emails, or occupant details.

  2. Vendor quote

Amount, scope, and what is included (parts, labor, disposal). Vendor name is useful; vendor phone and email are not required to decide.

  3. Owner approval band

The no-contact ceiling and the documented-exception ceiling, in the owner's own numbers. If the rule has extra conditions (preferred vendor, insurance, HOA), include those.

  4. Who sends

Coordinator name and the email they will send from. Earnest Engines does not email the owner, the tenant, or the vendor, and does not approve spend.

  5. Stripe receipt or order id

Include the receipt or order id from checkout so we can match payment to the case.

Privacy and redaction

Do not send tenant PII. We do not need names, phone numbers, emails, or occupant details to assemble the brief. If a packet arrives with that information, we will ask you to resend a redacted copy and we will delete the original.

What we need is the redacted work order, the quote, and the band. A property identifier the owner already knows is enough. Street address, vendor mobile numbers, and unit occupant data stay with you.

Pricing

Simple prices. Pay when you need a brief.

No account to create. This is not a subscription. After you pay, send the redacted packet and your Stripe receipt or order id to hello@earnestengines.com so we can match payment to the case.

Questions

Straight answers

Will you email my owners, tenants, or vendors?

No. You get a draft. Your coordinator sends it, if they choose.

Do you approve the spend?

No. The owner decides. We package the exception so that decision is a yes or no.

What do I send after I pay?

A redacted work order, the vendor quote, the owner's approval band, the name and sending address of the coordinator, and your Stripe receipt or order id so we can match payment to the case. Do not send tenant names, phones, emails, or occupant details.

Is the example on this page a real job?

No. It is labeled SYNTHETIC_TEST_DATA so you can see the shape of a brief. It is not a customer, a property we manage, or a live quote.

Is this software I log into?

No. There is no account to create. You buy a brief, send the packet, and we return the packed exception.

What does $49 include?

Three Repair Approval Briefs, to be used within 30 days of purchase. Same method as a single brief.

How fast is a brief?

Typical return is 48 business hours after a complete redacted packet arrives. That is a working band, not a contractual guarantee.
